My 4-Step Checklist for Evaluating Additive Manufacturing Service Bureaus

If you're an office administrator or procurement person tasked with finding an additive manufacturing partner, you've probably noticed one thing: everyone says they're the best. And that's the problem.

I manage purchasing for our engineering team. We spend about $150k annually across 8 vendors for 3D printing, CNC, and injection molding. In 2023, I learned the hard way that "best" doesn't mean "best for us."

So I built a checklist. Four steps. It's not perfect, but it's saved me from two costly mistakes since. Here's how I evaluate a service bureau like 3D Systems (or any of their competitors).

Who This Checklist Is For

This is for anyone responsible for vendor selection in a small-to-mid-size company (20-200 employees). You're probably not an engineer yourself, but you need to make sure the parts work. You report to both operations (who want speed) and finance (who want cost control).

If you're an engineer reviewing technical specs day-to-day, this might feel too basic. But if you're the person who actually places the orders, stick with me.

Step 1: Validate Their Core Technology

First question: what can they actually print? Don't assume just because a company's name is on the building, they can handle your specific requirement.

What to check:

  • Do they offer the specific process you need? (SLS, metal DMLS, FDM, SLA)
  • What's the build volume on their machines? I almost ordered a 12-inch part from a vendor whose largest printer could only handle 10 inches. (Thankfully caught it before the order went through.)
  • What materials do they stock regularly? If your material requires a special order, it'll add 3-5 business days and likely a premium (not that anyone tells you upfront).

My go-to request: Ask for a list of their machines by make, model, and maximum build envelope. Any serious service bureau should provide this without a sales pitch. If they deflect or get cagey, that's a red flag.

Side note: A company like 3D Systems has a huge range—industrial metal printers, polymer machines, even some niche processes. But even they can't do everything. Their 48 Hour Print service is great for standard geometries, but for complex medical device components with tight tolerances, you may need a different department or partner.

Step 2: Define Your Delivery Expectations (Specifically)

This is where most of my mistakes happened early on. "Standard" turnaround means different things to different vendors.

My checklist for this step:

  • How fast do you actually need it? If you need parts in 3 days, don't ask for "rush" pricing without knowing the baseline. Some vendors have expedited options that add 30-50% to cost (ugh).
  • What's the "confirmed by" date? I now ask: "If I upload files by noon Friday, when will they ship?" Get a specific date, not a range like "3-5 business days."
  • Do they offer first article inspection? For metal parts especially, sample review before full production can save you from scrapping an entire run. I didn't know this was a thing until 2022 when a vendor sent us a first sample—and it was wrong. (Glad I caught it before the full order went into production, honest.)

One thing I wish I'd known earlier: The value of guaranteed turnaround isn't just the speed—it's the certainty. For project milestones, knowing your deadline will be met is often worth way more than a lower price with 'estimated' delivery. This applies whether you're working with an online printer like 48 Hour Print or a full-service additive manufacturing partner.

Step 3: Check Documentation and Compliance (The Boring but Critical Part)

This step makes finance happy. It also keeps you out of trouble.

What I verify before the first PO:

  • Do they provide proper invoicing? (This sounds basic, but I once rejected an expense report from a vendor who only sent a handwritten receipt—cost me $2,400 out of my department budget. Never again.)
  • Do they have ISO 13485 certification if you're in medical devices?
    According to FDA guidelines (fda.gov, 2024), medical device manufacturers should verify supplier compliance with quality system regulations. This isn't just a box to check—it's a regulatory requirement.
  • What's their policy on documentation? Can they provide material certifications, inspection reports, or compliance statements?

Notable experience: In Q4 2024, we consolidated orders from 5 vendors down to 3. One of the vendors we dropped was actually the cheapest on quote, but their documentation was a mess. Finance spent 6 hours a month reconciling invoices. The 'cheaper' vendor cost us more in administrative time than we saved on parts.

Step 4: Total Cost Analysis (Not Just the Unit Price)

Here's where the honest limitation viewpoint kicks in.

I recommend this approach for 80% of cases—but here's how to know if you're in the other 20%.

Build your total cost estimate:

  • Base price per part
  • Setup or programming fees (some vendors charge, some don't)
  • Shipping (and is it included, or added as a surprise?)
  • Rush fees (if you ever need expedited service)
  • Potential reprint costs if quality doesn't meet spec

What I've learned: The lowest quoted price is rarely the lowest total cost. A vendor who's $100 more expensive on the base quote but includes free shipping, no setup fee, and has consistent on-time delivery—that's usually the better deal.

Note: When This Checklist Might Not Fit

Honest limitation: If you're ordering one-off prototypes for experimental projects and speed doesn't matter much, this checklist is overkill. Just find the cheapest quote and go.

But if you're managing recurring orders for production parts, especially in regulated industries like aerospace or medical devices, these four steps will save you time, money, and headaches.
